Misdirected Mail Handling Procedure

  1. Put all mail in alphabetical order
  2. Check each address against Campus Master Alpha Roster
    For residents listed in roster with mail:
    1. Addressed for any destination ON CAMPUS other than this residence hall
      1. Mark through improper address and mail routing bar-code
      2. Write the correct address on the mail
      3. Add to bundle for the appropriate residence hall
    2. Addressed for a resident of this hall
      1. Check for resident's name in green mail routing cards
      2. If a green card is present and has an off-campus address:
        1. Throw out any bulk rate or non-postage bearing mail
        2. Mark through improper address and mail routing bar-code
        3. Write FORWARD TO: and proper address on the front of the mail
        4. Add to bundle for OUTGOING OFF CAMPUS mail
      3. If a green card is present and has an on-campus address:
        1. Mark through improper address and mail routing bar-code
        2. Write FORWARD TO: and proper address on the front of the mail
        3. Add to bundle for the appropriate residence hall
      4. If NO green card is present:
        1. Check Hall Alpha roster to verify address
        2. If address is correct, place in appropriate Resident Advisor's mailbox
        3. If no address can be found AND mail has non-bulk rate postage then stamp RETURN TO SENDER
        4. Add to bundle for MISDIRECTED mail
    For names NOT listed in EITHER Campus Master OR Hall Alpha Roster:
    1. Throw out all bulk rate and non-postage bearing mail
    2. Mark through all mail routing bar-codes
    3. If mail was addressed to this residence hall
      1. Stamp RETURN TO SENDER
      2. Add to bundle for MISDIRECTED mail
    4. If mail was not originally addressed to this residence hall
      1. Circle the address the mail was sent to
      2. Add to bundle for OUTGOING OFF CAMPUS mail
    5. If mail is a returned U.S. Postal Address Change card
      1. Place in ADMINISTRATIVE COORDINATOR mailbox
